- Answering and directing phone calls
- Greets all guests and announces arrival to the pertinent parties.
- Manages the reception area and answers the phone.
- Coordinates calendars, meetings and conference calls
- Responsible of Filing and keeping records of financial and legal documents
- Provides general office administrative services including the distribution of mail, copying, faxing, file set-up & maintenance
- Responsible for ordering office supplies, maintaining office and kitchen supplies, ordering business cards, office equipment, etc.
- Builds and updates mailing and contact Database
- Responsible for handling travel and hotel accommodations for senior management team.
Skills
- Proficient with computers and the following software: Microsoft Office (Word, Outlook, Excel, PPT),
- Candidate must be professional, organized, dependable, accurate, work without much supervision/intervention, and must be able to meet strict deadlines.
- Excellent English Communication Skills (written and spoken)
- Ability to maintain discretion with potentially sensitive and confidential information
